Recruiting Privacy Policy

    2. This policy applies to individuals who apply for a job or working student position at Climatiq Technologies GmbH, whether through our website, a job board, or direct contact. It supplements the general information in this privacy policy and constitutes the privacy notice required under Articles 13 and 14 GDPR for applicants.

    • Personal Data collected from applicants
    • In the course of the application process, Climatiq may collect and process the following categories of Personal Data:

      Identity and contact information: first name, last name, email address, phone number, address

      Professional background: CV/résumé, cover letter, work history, qualifications, certificates, references

      Application-related information: position applied for, availability, salary expectations

      Communication data: contents of messages and emails exchanged during the process

      Interview-related data: notes taken during interviews, assessment results (where applicable)

      Data voluntarily shared by the applicant that goes beyond the above (e.g. a photo on a CV)

      Climatiq does not request or intentionally collect special categories of data (Article 9 GDPR) such as health information, disability status, or similar. Applicants are asked not to include such information in their application materials.

    • Applicant Tracking System: Ashby
    • Climatiq uses Ashby as its Applicant Tracking System (ATS) to manage job applications, schedule interviews, and communicate with candidates.

      Personal Data processed: first name; last name; email address; phone number; CV/résumé; cover letter; application history; interview notes; communication records.Place of processing: United States (Ashby Privacy Policy).

      Data transfers to the United States are carried out under the EU Standard Contractual Clauses (SCCs) pursuant to Article 46(2)(c) GDPR.

    • Retention period
    • Application data is retained for 6 months after the end of the recruitment process, after which it is deleted. This period allows Climatiq to handle any queries or legal claims related to the selection process.

      If the applicant has given consent to be included in a talent pool, their data will be retained for up to 12 months from the date of consent. Applicants may withdraw this consent at any time by contacting us at the address below.

      If an application leads to employment, the relevant data is transferred to the employee's personnel file and processed under applicable employment law.

    • Rights of applicants
    • Applicants have the same data subject rights as described in the general section of this privacy policy (access, rectification, erasure, restriction, objection, portability, and the right to lodge a complaint with the competent supervisory authority).
